Display Case Guidelines

In keeping with our vision of “an informed, empowered, and vibrant community”, Frederick County Public Libraries provides exhibit space in display cases at several branches. The primary focus and priority of these displays should be to advertise, promote, and enhance library programming, and increase the awareness of FCPL collections and services. When available, cases can also be reserved for local individuals, organizations, and institutions to highlight their work, activities, and collections.

The Library does not accept responsibility for ensuring that all points of view are represented in any single display. Permission to display materials does not constitute endorsement by Frederick County Public Libraries. Failure to meet these guidelines may result in removal of the display.

Eligibility

The following can reserve cases when availability permits:

  • Not-for-profit community groups
  • Charitable institutions
  • Government-funded institutions
  • Private individuals
  • Works from artists and artisans will be accepted from established institutions

Use of the display cases shall be handled by a designated individual or team at each location. These individuals will determine whether requests will be accepted or if solicitations will be made by the Library. A single group or individual may have one display in a twelve-month period. Depending on demand and appropriateness, the Library cannot guarantee that all requests will be fulfilled. The Library reserves the right to cancel a scheduled display if the space is required for library purposes.

Responsibilities 

Library 

The Library has the right to review the materials before the exhibit is installed. The Library will not accept displays that are inappropriate for a public library setting. The final decision to refuse a display rests with the Branch Administrator.

The Library reserves the right to enhance displays with library books and materials at our discretion.

Customer

Displays must be attractive and informative. Installation and removal of displays, as well as any supplies needed, are the responsibility of the customer exhibiting. 

Customers will display in a manner that does not damage the display cases. Pins, staples, or tape should not be visible. The name of the group or individual responsible for the display must be a part of the display.

All items placed in the library are done so at the owner’s risk. The Library assumes no responsibility or liability for the preservation, protection, loss of or damage to any part of an exhibit. 

The display must be taken down on the last day of the reserved time period and items must be removed from the library. Pins, staples, or tape must be removed. If items have not been removed at the end of the display period, and every attempt has been made to contact the group, library staff has the right to empty the case, and items will be stored for a limited time.
